MATT SEEDS

It’s the back end of May. The retic’s about to go off for winter, and June 30 is close enough to feel in your inbox. Three bits of paper sit on your desk. A quote for twelve new laptops, a Microsoft 365 renewal, and a cyber insurance questionnaire with a backup question that has you reaching for the phone.

You hover the pen over the laptop quote, then the renewal. If I stuff this up, how much is it going to cost me? The pen goes back in the cup. That’s the exact moment IT consulting services are built for.

I’ve sat across the desk from Perth business owners in that spot more times than I can count. The decisions themselves are manageable; it’s the triage and possibility of fallout that has your stomach in knots. Done well, IT consulting turns three separate approvals into one scoped, costed plan, so when you do sign, you’re signing with the whole picture in front of you.

Here’s the catch. ‘IT consulting’ is easy to say and hard to picture, and you shouldn’t sign up for a plan you can’t picture. So let me walk you through a full engagement, from the first audit to the 12-month roadmap. By the end, you’ll know what each stage delivers and what to ask before you sign.

SUMMARY

IT consulting services give your business one scoped, costed plan for its technology. The engagement runs like your own client work. A first audit, findings ranked by risk, a 12-month roadmap covering budget, assets and improvements, delivery by the team who planned it, then a monthly report and quarterly review that keep the plan current.

WHAT SHOULD IT CONSULTING COVER FOR MY BUSINESS?

IT consulting services should cover the planning side of your technology, with a team accountable for it. They work out what your IT should look like over the next 12 months and beyond, then cost it, deliver it and report on it.

IT support fixes what breaks today. Consulting asks why it keeps breaking and what should replace it. You’ll also see it sold as IT consultancy services or a virtual CIO. For a firm of 25 to 200 staff, it’s executive-level IT insight without a full-time IT leadership role on the payroll.

DO I NEED IT CONSULTING IF I ALREADY HAVE AN IT PROVIDER?

If your provider keeps things running but has never handed you a plan, then yes. Keeping systems running and planning them are two different jobs.

Your clients expect a scoped plan, costs up front and regular reporting. Hold your IT provider to the same standard. Run this test with your last three months of reports open.

RUN THIS TEST ON YOUR CURRENT PROVIDER

Answer each one yes or no.

  1. Have you had a written, costed IT plan in the last 12 months?
  2. Can you name your top three IT risks in one sentence?
  3. Does your report show what changed and what’s at risk, beyond tickets closed?
  4. Has your plan been reviewed against budget this quarter?
  5. Do you know when your laptops and key systems need replacing, and the rough cost?

Every no is a question for your next meeting with your provider.

If the test turned up a few no’s, the next section shows what a yes looks like at every stage.

WHAT HAPPENS AT EACH STAGE OF MY IT CONSULTING ENGAGEMENT?

There are five stages, and they run in the same order every time. Audit, findings, roadmap, delivery, then review.

It’s the sequence you’d run with a new client. Fact-find first, advice second, then the work and the review meeting. Here’s what happens at each stage, what you receive and what’s asked of you.

WHAT HAPPENS DURING MY FIRST IT AUDIT?

Your first IT audit is the fact-finding. My team reviews your devices and infrastructure, your Microsoft 365 setup and licensing, security, backups, vendor contracts and how your staff work day-to-day.

That last part matters. A server can pass every check while your accounts team rekeys the same invoice into two systems. The audit looks at workflows as well as hardware and checks your security posture against ASD’s Essential Eight, the Australian Government’s eight priority mitigation strategies.

5 THINGS TO HAVE READY BEFORE YOUR FIRST AUDIT

  1. Admin access to Microsoft 365 and key systems, or who holds it
  2. IT, software and telco contracts, with renewal dates
  3. Your latest cyber insurance questionnaire
  4. A list of the apps each team relies on daily
  5. An hour with two or three staff who know how the work gets done

WHAT SHOULD MY AUDIT FINDINGS TELL ME?

Put simply, your audit findings sort what needs fixing this month from what can wait.

My team ranks every finding by risk and by what it means for the business, then writes it up so you could walk your business partner through it over a coffee. No IT person in the room. Here’s the test I hold those reports to. If you can’t explain the top three findings in a sentence each, they’ve been written badly, and that’s on my team to fix. Done right, they flag the gaps in compliance, security and resilience well before an insurer or auditor comes looking.

PLAN FIRST, THEN FIX

WA Fuel Supplies delivers bulk fuel across Western Australia, with staff at multiple locations. Leadership needed more than a provider fixing issues as they came up. They wanted to know where the risks sat and which technology investments mattered. So my team started with a review of the environment and a clear direction. Proactive support, stronger security and better backup and recovery came after, built to that plan. WA Fuel now makes its technology decisions with a clear plan behind them.

WHAT GOES INTO MY IT ROADMAP?

Your IT roadmap is a 12-month plan, updated continuously and prioritised by business value, risk reduction and future growth. Think of it as the scoped engagement for your technology.

Three things sit inside it. The first is a budget forecast, with your IT spend tracked against it month by month, so the numbers hold far fewer surprises come budget time.

Then there’s asset and lifecycle planning. If half your laptops turn five next Spring, or a server is about to lose vendor support, you’ll see it on the roadmap a year out, while there’s still time to budget for it.

Last come the improvements. Each one is ranked by what it does for your team’s day and your security, so the remaining dollars go where it counts.

For the five-year view that sits alongside it, my piece on longer-term IT planning covers that.

WHO DELIVERS THE PROJECTS ON MY ROADMAP?

My team scopes and delivers the projects on your roadmap, highlighting any additional costs outside of the consulting agreement for full transparency. The roadmap comes as part of your consulting agreement with Inspired IT and, once signed off, the people who scoped the work are the people who ensure it’s carried out.

Upgrades, migrations and security uplift are tested and deployed in stages, and you approve each one before it starts. There’s no gap between a consultant who writes the plan and a separate provider left to interpret it. You’d never hand a client’s file to a stranger halfway through the job.

HOW DOES MY ROADMAP STAY CURRENT ONCE THE WORK IS DONE?

Your roadmap stays current through a monthly IT performance report and a quarterly business review led at executive level.

A count of closed tickets won’t help you decide where to spend next, so that’s not what the monthly report leads with. It shows you what shifted over the month and where the next risk is building. Then each quarter, the review holds progress and budget up against your priorities, and the roadmap moves with the business. Plenty of IT plans end up in a drawer. Yours gets opened at least twelve times a year.

That’s the whole engagement, start to finish. So how do you tell if it’s working?

WHAT ARE THE RESULTS I SHOULD EXPECT FROM IT CONSULTING SERVICES?

You should expect results you can check in writing. With IT consulting services, results show up in your monthly report and quarterly review.

Each one shows what’s moved since the last, measured against the plan you signed off. You judge the work on evidence you can hold in your hand.

HOW WILL I KNOW MY IT CONSULTING IS WORKING?

You’ll know your IT consulting is working when your IT spend tracks close to forecast, and the unplanned purchases dry up.

Look for refreshes on schedule, risks raised early, and clear answers when an insurer or client asks about your IT. Decisions get made on evidence instead of the loudest vendor in your inbox. Quick fixes from the audit land early. The rest builds quarter by quarter, and your first quarterly review is the natural checkpoint.

WHEN IT SUPPORT IS A KEY STAFF MEMBER’S SIDE JOB

HPH Solutions is a Perth financial planning firm of around 50 staff. As the firm grew, one of its key people was losing hours to everyday IT problems, time meant for strategic projects. My team took the support off their plate first. Then the old on-premises server went, replaced with a setup built for where the firm was heading. My team stayed on as a sounding board for the bigger calls, and today HPH has a clear roadmap for what comes next.

Results like these depend as much on the relationship as on the plan.

WHAT CAN I EXPECT FROM AN IT CONSULTING PARTNERSHIP WITH INSPIRED IT?

You can expect a set rhythm and a team that knows your business.

That means a report every month, a review every quarter and one team across advice, support and security.

WHO WILL I WORK WITH, AND HOW OFTEN?

You’ll work with an Account Management team that gets to know your business. You’ll hear from them in writing every month and sit across the table from them once a quarter.

The relationship itself gets monitored too, with structured feedback and early flags on service or delivery risks.

HOW DOES IT CONSULTING CONNECT WITH MY CYBER SECURITY AND MANAGED IT?

At Inspired IT, IT consulting, managed IT and cyber security work as one offering. Security and compliance get planned into your roadmap from day one instead of added later.

The team that advises you also runs your managed IT services and your cyber security services, so the plan and the day-to-day stay in step. My team’s own security practices are independently certified to ISO 27001 and SMB1001 Gold Level 3, so the people planning yours are held to the same scrutiny.

Put together, it’s one accountable team from the first audit to the fourth quarterly review, and every year after.

WHERE TO START

Back to that desk at the end of May. The laptop quote, the renewal and the insurance questionnaire are no longer three separate calls. The audit showed where each sits. The roadmap ranked them and attached the costs. My team delivers the work, and the monthly report and quarterly review keep it on track. The knot in your stomach loosens, and you breathe a sigh of relief.

You already run your own client work this way. Your technology deserves the same discipline. Run the provider test on your current IT provider, and on any provider you speak to next, including my team.

MY OTHER QUESTIONS ABOUT IT CONSULTING

WHEN IS THE RIGHT TIME TO BRING IN IT CONSULTING?

The right time to bring in IT consulting is when IT decisions land on your desk faster than you can answer them.

Look for a growth point. A new site, a jump in headcount, an insurer or client asking questions about your IT you can’t answer, or a major renewal coming up. It’s also time when IT has quietly become a side job for one of your staff. That’s where HPH Solutions found itself, with a key staff member losing time to everyday IT issues.

HOW MUCH DO IT CONSULTING SERVICES COST IN PERTH?

IT consulting services in Perth are priced to the business, so there’s no single figure I can give you here.

Staff numbers, sites, the complexity of your systems and how much roadmap work you want delivered all drive the cost. Ongoing advisory, support and security sit inside the agreement, and larger roadmap projects are scoped as you approve them. You’ll see the full number in writing before you commit, so budget time holds no surprises.

WHAT SHOULD I ASK AN IT CONSULTING PROVIDER BEFORE I SIGN?

Ask an IT consulting provider the same questions your own clients ask you.

Whichever IT consultants in Perth you meet, ask how often they’ll report to you and what goes in the report. Ask who leads the quarterly review, and whether they’re senior enough to talk budget with you. Ask how they track your spend against forecast. Then ask who delivers the work once the plan is signed off, because a plan handed to a different team has to be learned all over again.

WHAT HAPPENS AFTER I BOOK A FREE CONSULTATION?

After you book a free consultation, I get in touch myself.

I’ll take the time to understand your business, how your team works and what’s coming up over the next year. Then I’ll prepare a quote and proposal and talk you through every part of it before you sign. If it’s not the right fit, you’ll hear that from me early.
